Chairs Report

Jaine thanked everyone for coming and talked through the events that the PTA had organised over the last year. Last years AGM minutes were approved and signed by Jaine.

Treasurers Report

Yvonne talked everyone through the Treasurers report.

Election of Officers

Yvonne has decided to resign from the Treasurers position after 6 years, we would like to thank her for all of her efforts. 

Trish Hiscock has spoken to Jaine and has put herself forward to be the Treasurer, she was proposed by Jaine and seconded by Karen.

Nicki Else has put herself forward to be Vice Chair, she was proposed by Karen and seconded by Sam Houghton.

Vanessa is happy to remain as Secretary, this was proposed by Karen, seconded by Jo Angell.

Jaine is happy to stay as Chairperson as long as she has full support from the other committee members. This was proposed by Karen and seconded by Sarah Bath.

Any Other Business

Sarah Bath suggested that maybe a copy of the Balance Sheet prepared by the Treasurer should go to parents so that they know how much money we raise and what the money is spent on. This will also be on the school website along with a copy of all of the PTA meeting minutes.

Santa's Grotto - Tuesday 4th and Wednesday 5th December
Mandy is taking charge of this and Viv Ellis has kindly offered to help again this year.
Jaine has bought the presents and wrapped them all! Helpers for 4th - Claire Summers, Nicki Else, Mel Peach, Karen Forshaw, Jaine Harding. 5th - Sarah Bath, Nicki Else, Trudy Allen, Vanessa Vining.

Sarah and Tracey Turpin are taking charge of requesting raffle prizes for the Christmas Draw. We will sell raffle tickets at the Santa's Grotto, Christmas Shopping night, in the playground and at the nativity, it will be drawn at the evening performance of the nativity.

Late Night Shopping - Friday 7th December
Mr Allen has offered to help on the chocolate tombola stall. More helpers needed please.

Christmas Lunch
Jo and Trudy have this under control! Nicki Else has kindly offered to peel the potatoes again this year. Vegetables to be prepared in the school kitchen on Thursday morning (20th), helpers needed for this. Mr Allen said he would rather that no ex-pupils helped with the Christmas Lunch.

It was decided not to have another meeting before Christmas but a meeting will be held in the New Year to discuss future fund raising events. It was discussed that monies could be raised to put towards computers, developing the woodland area and up keep of the swimming pool.

1) Children in Need - 16/11/12
Dikes will be selling bacon sandwiches in the playground before and after Wake and Shake, PTA will be selling teas, coffees and hot chocolate. Vanessa and Jaine will arrange for a letter/text to go out asking for helpers.

2) Stalbridge Late Night Shopping - 07/12/12
Mr Allen suggested selling soup and asking Emily Davies about this but Pre-School are already doing a soup stall so it was thought we would do a chocolate tombola again as this proved successful in the past. Helpers needed for the stall and chocolate donations needed, Vanessa and Jaine will arrange for a letter/text to go out asking for helpers and donations.

3) School Disco - 14/12/12
The PTA have offered the disco to Mr McAney as a Year 6 fundraiser, he has accepted.

4) Christmas Lunch - 21/12/12
Jo Angell and Trudy Allen will take charge of organising the Christmas Lunch. It was suggested that Jo be given an amount of money for the items she needs to buy for the Lunch so that she doesn't need to be reimbursed. Vanessa and Jaine will arrange for a letter/text to go out asking for helpers.

5) Santas Grotto
There will be a Book Fayre in school 4th to 7th December and it was thought that this would be a good time to have Santa's Grotto to entice parents and children in. Maybe two afternoons that week, 4th and 5th. Karen Forshaw will ask Roy if he thinks Father Christmas will be available then. It was thought we could sell teas and coffees and also do a Christmas Raffle. Mandy Elsworth, Jo Angell and Karen Forshaw are happy to help with this. Mrs Brown suggested that maybe classes could sell decorations they had made in class, she will ask the other teachers.

6) Film Night
It was decided we wouldn't hold a film night before Christmas.

7) KS2 Nativity - 20/12/12
Mr Allen has asked that the PTA sell tea, coffee and mince pies before/after the afternoon performance and mulled wine and mince pies before/after the evening performance. Helpers will be needed for this.

8) AGM
As there hasn't been a PTA AGM yet it was thought we should have one on 26 November 2012 after school. A letter will go out to invite all parents to attend and to ask for more PTA members and committee members.

9) ANY OTHER BUSINESS
A teacher representative will be at all future PTA meetings.

1) Easter Egg Hunt - 29/03/12
Nicki , Karen and Jaine will set up at 2pm. Karen will buy disposable cups for teas and coffees. £1 for the egg hunt which includes chocolate treat and a squash. Hot drinks will be 20p. The children will need to find the animal toys as in the pictures and write the number attached to the animal on the sheet. A letter to go out to parents with the details. PTA members to donate easter themed raffle prizes, tickets will be £1 per strip.

2) Film Night - 20/04/12
The film will be the Smurfs and popcorn, drinks and sweets will be given again as this has always worked well at the previous film nights. £2 per child, 6.30pm. Jaine will arrange for the letter to be sent out and Nicki will get popcorn and sweets from Bookers.

3) School Tidy Up Days
Tidy up days have been arranged for 12th - 15th April, a letter will be sent out to parents asking for willing volunteers.

4) Money for computers
The school would like to purchase another set of laptops, maybe 15, Mr Allen has asked that the PTA pay maybe £2,000 towards these. This will be discussed further.

5) Diamond Jubilee Coins
Yvonne confirmed that the money for the coins for pre-school has been received.

7) Entrance Evening - 24/05/12
PTA have been asked to do teas and coffees, Karen and Nicki can help.

Any Other Business

Fete - 07/07/12
Pony rides and Sandart have been booked. Jaine & Jo Townsend will get together to start planning.
Maybe an Olympic theme?

Webb Ivory
Mandy Elsworth has confirmed that the Webb Ivory catalogues made £95, which she is hoping will go towards a new greenhouse.

Diamond Jubilee Celebrations
We need to ask Mr Allen if the school have any plans for this.

1) Chairperson
Jo Angell has resigned as Chairperson, a letter was sent out regarding the vacancy but nobody has come forward so it has been agreed that Mr Allen will be silent Chair and Jaine, Karen and Vanessa will run the PTA together. It was discussed that it may be easier if one person could take on the running of a particular event and organise helpers as needed.

2) Sports Relief - 23/03/12
It was suggested that we could do the Sports Relief Mile again and maybe Dikes could sell bacon rolls and PTA do drinks as the Farmhouse Breakfast morning seemed to be very popular. It was thought that maybe doing this in the afternoon maybe better than in the morning before the run. Jo Angell and Trudy will organise this and discuss with Mr Allen.

3) Film Night - 20/04/12
Jaine will organise this event. Film to be decided nearer the time.

4) Easter Egg Hunt - 29/03/12
This event was popular last year so it was agreed to do it again this year. This will be arranged at another meeting closer to the time.

5) School Fete
It was discussed that Saturday 7th July would be the best date for the Fete.
The pony rides were popular so we would like to book them again. We could have an Olympics theme maybe with an assault course. Could maybe get the Scouts involved.

Any Other Business

School Disco - It was thought that we wouldn't have an Easter Disco as there is already a lot of events going on. It was discussed that a Disco could be arranged for Friday 13th July.

Farmhouse Breakfast - this event went very well and there have been lots of requests to do it again. The PTA raised £22.40 on teas and coffees.

Pantomine - 90 children attended and all enjoyed. There was a shortfall of £125, it was decided that the PTA will pay £75 of this.

Update of IT equipment - Mr Allen suggested that maybe the PTA could donate some money towards new computers. It was agreed that we would donate £1000.00.

Clean Up Day - Everyone thought this was a good idea for the Easter Holidays but people do go on holiday during this time. Maybe it could be done after school so more people could help. Not sure what was happening about upgrading the Pool Changing Rooms, Simon Clarke was getting a quote, we need to find out about this. Jaine will speak with John Fieldhouse about dates for painting the Pool etc. We need to have a look around and see what else may need doing.

Bicycles in the Playground - there have been complaints about Pre-School, children riding their bikes around the playground well before school finish time. This will be discussed with Mr Allen.

WE NEED HELPERS FOR THE CHOCOLATE TOMBOLA. ON FRIDAY 9TH DECEMBER IN THE AFTERNOON ONE OR TWO HELPERS ARE NEEDED TO PUT TICKETS ON ALL THE TOMBOLA PRIZES. LOTS OF HELPERS ARE REQUIRED FOR THE EVENING. IF YOU CAN HELP PLEASE SPEAK TO EITHER JO ANGELL, VANESSA VINING, JAINE HARDING OR KAREN FORSHAW.

JO T AND MICHELLE HAVE AGREED TO WRAP THE PRESENTS FROM SANTA.

JOHN FIELDHOUSE HAS PRINTED SOME POSTERS ADVERTISING THE GROTTO AND TWO BANNERS HAVE BEEN MADE AND PUT UP EITHER END OF THE SCHOOL.

CHRISTMAS LUNCH

JO WILL GO TO BOOKERS AND BUY CRACKERS, BANQUET ROLL, PLATES, CUPS ETC.

FOOD HAS BEEN ORDERED FROM DIKES WHO ARE SUPPLYING IT BELOW COST PRICE.

JO HAS CONTACTED HUNTS WHO ARE HOPEFULLY SUPPLYING THE ICE CREAM AGAIN THIS YEAR.

AS THERE ARE ONLY CARROTS TO PREPARE JO TOWNSEND HAS OFFERED HER KITCHEN ON THURSDAY 15TH DECEMBER TO PEEL CARROTS AND ROAST THE POTATOES.

JO A TO SPEAK TO MRS PRILL ABOUT BORROWING POTS AND PANS FROM THE SCOUTS.

NICKI WILL HAVE POTATOES PEELED AND READY TO BE COOKED FOR THURSDAY MORNING.

NICKI WILL BRING THE BAMBOREES (?) TO THE HALL FIRST THING ON THE FRIDAY WHICH SHOULD HELP KEEP THE FOOD WARM FOR LONGER.

WE WILL NEED SOMEONE TO BRING A CD PLAYER AND CHRISTMAS CD'S TO BE PLAYED THROUGH THE LUNCH AND WE WILL ALSO NEED THINGS LIKE TEA TOWELS, JUGS ETC...(ANYTHING YOU CAN THINK WE WILL NEED THAT THE HALL DOESN'T HAVE)

AGAIN HELPERS ARE NEEDED. PLEASE LET US KNOW IF YOU ARE AVAILABLE.

NEXT MEETING

NO FURTHER MEETINGS WILL BE HELD BEFORE CHRISTMAS.

IN THE NEW YEAR A MEETING WILL BE HELD TO DISCUSS FUNDRAISING FOR THE REST OF THE SCHOOL YEAR WHICH WILL INCLUDE A FUNDRAISER TO PAY FOR THE SWIMMING POOL PUMP AND IDEAS FOR THE SUMMER FETE. IT WOULD BE GREAT IF WE COULD GET AS MANY PEOPLE THERE AS POSSIBLE WITH NEW IDEAS AND WHO ARE WILLING TO HELP.

A TEXT WILL BE SENT OUT WITH A DATE AND TIME IN THE NEW YEAR.

1) Movie Night - 4/11/11
Nicki Else got prices from Bookers for popcorn and sweets, she will go on Friday and buy them. Mel will bring the DVD. We have plenty of helpers for the night.

2) Christmas Grotto - 13/12/11
Selection boxes were agreed to be a good present from Santa, Nicki also got prices for these at Bookers. Cadbury £15.59 per 20, Milkybar £9.78 per 12. It was agreed the Cadbury boxes would be best and that we would purchase 200 again this year as we are hoping to get more children coming as it will be straight after school. A price of £1.50 per child to see Santa was agreed.
Viv needs snowflakes, spray snow and flo pak for the grotto.
On the Grotto afternoon teachers are doing their own tables, we will do refreshments and raffle. Jo will ask Fudges about mince pies.

3) Christmas Lunch - 16/12/11
Martin and Nicki Else are kindly donating the potatoes as well as peeling and maybe cooking them too. Nicki will ask Julian about cooking and slicing the turkey again this year. Jaine looked into prices of crackers but Bookers are the cheapest. Nicki will find out a price from their catering suppliers for crackers and banqueting roll.

4) Late Night Shopping - 09/12/11
Jaine has booked our table and we will do a Chocolate Tombola. We will put out the same letter as last year asking for chocolate donations.

Any Other Business
Jubilee Coins have been ordered.
Webb Ivory Catalogues have been given out.
Year 6 have designed a tea towel as a fundraiser for the Brenscombe Trip so we will think of a different idea for Mothers Day.

1) Web Ivory Fundraising Book
Mandy Elsworth has come up with this idea to raise money for the Gardening club, Mr Allen would like this to be run through the PTA but with all monies raised to go to the Gardening Club. Mandy has asked if we could pay for the catalogues and she will deal with orders etc. The first 30 catalogues are free but after that each pack of 20 costs £3.20. It was thought that 6 packs of 20 catalogues would need to be ordered, plus the 30 free and this would be enough for 1 per family. There was concern about the timescale as the orders have to be in by 31st October 2011. It was agreed we would donate the £20 needed to order the catalogues.

2) Christmas Cards
It was thought that the children designing a Christmas Card and getting it printed would be a nice idea, Karen will speak to Debbie at Pre-school to see which Company they have used for this in the past.

3) Christmas Disco
A Year 6 parent has asked if they could have the monies raised from the Christmas Disco towards the Brenscombe Trip. Teachers have said they will run the disco. Manic Matts Disco has been booked and it will be held on Thursday 15th December 2011.

4) Movie Night
A suggested date for movie night was Friday 4th November 2011. It was decided that 'Gnomeo & Juliet' would be a good film choice, Mel has the DVD. It was decided we would have popcorn, sweets and drinks. Jaine will speak with John about printing of tickets and Nicki will look at prices at Bookers for the refreshments. Vanessa will speak to Karen Arnold about the letter which we would like to go out week beginning 17th October, monies to be in by 31st October. 

5) Christmas Events/Santas Grotto
It was thought that Tuesday 13th December 2011 at 3.30pm would be a good day for doing Santa's Grotto. It was decided we would give wrapped selection boxes as Santa's gift again. Nicki will look at Bookers to see what they have. It was thought we would have the Grotto in the library again as then we can do refreshments, raffle etc., in the hall. It was thought we could have a tombola. Another meeting will be held to discuss prizes etc. Jo will speak to Fudges about buying some mince pies and if maybe they could donate a raffle prize. Vanessa will write to Wookey Hole, Longleat, Peppa Pig World and Swanage Railway and see if any of them would donate a family ticket for their Christmas events.

6) Christmas Lunch
This will be held on the last day of term, Friday 16th December. Jaine suggested the preparation be done at her house and she will draw up lists of what needs to be done at what times and by whom. Nicki said that they can get the potatoes and put them through their peeler and blanch them which will save alot of time, she will speak with Martyn.

7) Diamond Jubilee Coins/Celebrations
June 2012. School have been sent a sample coin which are £1.99 if ordered in 2011. We will do a lunch similar to the Royal wedding lunch and maybe a non uniform day and use the funds from this to buy coins for the children. Karen will speak to Debbie at Pre School to see if they would like to order some too.

8) Helpers for Orienteering
Tomorrow evening (4th October), Jo Townsend is willing to help and Jo will ask Trudy Allen if she could help.

9) Donating PTA Money
At the AGM it was discussed about donating a set amount of money to each year towards their trip. Jo discussed this with Mr Allen and it was decided that we would not do this but if money was needed for something in particular then this could be discussed at the time. 

Simon Clarke has asked if the PTA could donate money towards the upgrade of the swimming pool changing rooms. Jo is waiting to hear back from Simon with regards to costs etc.

Yvonne is finding out from Mrs Butchers how much the Swimming Pool pump will cost and will pay for it. We will fundraise later in the year for this.

10) Christmas Shopping Night
It was decided we would have a table and maybe do a Chocolate Tombola again as this made £100 last year. We could maybe sell raffle tickets for the Christmas Draw also. Another meeting will be held to discuss this further.

11) Any Other Business

Tea Towels
It was discussed about each class designing a tea towel but was decided this may be a good idea for Mothers Day. Karen will also speak to Debbie about this to see which Company was used.

Stalbridge Players
Stalbridge Players are doing Robinson Crusoe this year and Jaine suggested asking them to put on a performance for the school, maybe a dress rehearsal. She will speak to them.

Bedtime Stories
Biscuits are being donated by Fudges, we will also need to get some plain ones for anyone with allergies. It was thought the helpers would need to be at school by 5.45pm as doors open at 6.15pm. Nicki will get the hot chocolate from Bookers.

Election of Officers

Sharon Elsworth would like to give up her position as Vice Chairperson and so Karen Forshaw and Jaine Harding said they would do this role together. Jo Angell will remain as Chairperson, Yvonne Day as Treasurer and Vanessa Vining as Secretary.

Any Other Business

The school play equipment is a general concern with parents, whilst it is understood why the new rules on age restriction has been taken up it was thought that this was a little over the top and maybe parents should sign a disclaimer and the children be allowed on all parts of the play equipment.

It was thought that maybe we could allocate a certain amount of money each year to each class to go towards trips, this will be discussed at the next meeting.

Bedtime Stories will take place on 10/10/11, the PTA have been asked to help with hot chocolate etc. on the night. Jo Townsend, Karen Forshaw, Michelle Rozycki, Yvonne Day, Trudy Allen and Vanessa Vining are all willing to help.

The swimming pool pump has broken and Mr Allen has asked if the PTA could pay for this. It was thought we could organise a fundraiser especially for this.

People willing to be on the School Closure list: Jaine Harding, Trudy Allen, Jo Townsend, Vanessa Vining, Michelle Rozycki, Yvonne Day.

The Christmas disco will need to be arranged and the late night shopping in Stalbridge takes place on 9th December 2011. This will be discussed further at the next meeting.

It was thought that instead of a Christmas Fayre, as last years wasn't very well supported, this year we could just have a Santa's Grotto with refreshments and a raffle after school, maybe on the 16th December. This will be discussed further at the next meeting.

1) Stalbridge Lights Group are holding a Duck Race at West Mill on Sunday 17th July 2011 and have asked the PTA if they would like to do a stall. It was discussed and decided that there would not be enough people willing to help as it is on a Sunday and very close to the School Fete. Jo will let them know.

2) Mrs Saville has asked if we would be able to donate a sum of money to Key Stage 1 towards a trip to Cinderella at the Lighthouse in Poole. It was decided that we could do this and an amount will be decided at a later date.

3) It was discussed and decided where stalls etc., should go for the Fete. 8am-9am to set up. Ray & Jan Tickner are doing a tub of cans stall and it was decided that they can keep any money raised on their stall towards Ben's treatment.

1) Discussed selling bone china mugs to commemorate the Royal Wedding, Mr Allen thought this was a good idea to offer these. A letter to go out with fundraising events on and order forms for mugs. Approximate cost per mug is £5, we need 50+ orders. Orders in by end of next week.

2) Jo has booked the disco for 8th April.

3) Printstar company have sent a sample of Autograph books to Mr Allen, discussed these books as leaving presents for Year 6 each year. Inquiry made about Year 6 leaving party - to discuss.

4) Looked at plans for proposed play equipment to go at the top of the field before the Pre- School building. Use the money raised at the fete towards this. Jo will find out from Mr Allen if the children will be allowed to use this at lunchtimes and after school. PTA to pay £2000 towards this equipment as long as it will be used to full potential. It was thought that it wasn't suitable for Key Stage 1 children, some equipment looked difficult for younger children. Discuss choosing an item we pay for which is more appropriate for younger age and a plaque saying donated by PTA so that parents can see what the money is spent on. Discussed needing more PE mats for the hall (this was put forward last year before fete?) Other suggested equipment: New netball posts/football wall, which was suggested last year. Basketball nets or small posts.

5) Film night - 18th March - Decide what DVD to appeal to Key Stage 1 and 2, sort prices and times out. Drinks and Popcorn.

6) Spring clean up - PTA and volunteers to spend a Saturday tidying up the school grounds/gardens, play equipment, painting tables and tidy up the environmental area. Ask John to go around and see what needs painting/mending etc. List what is needed and cost. Arrange a date. Pool painting could be done on the same day. Need to sort out volunteers.

7) April 28th - Royal Wedding Lunch - Mr Allen to cancel school lunches, PTA to supply all food and drink. Cost £2.00. Fancy dress in posh wedding outfits and posh hats. Sort out bunting/flags/hats/streamers. Mr Allen sorting out tables from Hall.

8) Decorate a Plate Competition - 8th April - Every child gets to decorate a plate to do with the Royal Wedding e.g. union jack, crowns, bride and groom etc. Bring back after Easter Holidays, use them to decorate hall/playground on Wedding Street Fair Day.

9) PTA to help with painting the swimming pool. Open pool in Summer holidays, PTA to train in life saving with the staff after Easter. List people interested in helping run the pool during the summer.

10) Fete meeting to be arranged.

Christmas Events
Jo thanked everyone for all their help with all the Christmas events. Special thanks go to Lorraine Lane for helping with the Christmas Lunch, Hunts for supplying the ice-cream , Dike & Son for supplying the vegetables and Julian Else for cooking and slicing the turkey. 
We would also like to thank Viv Ellis for decorating Santa's Grotto for the Christmas Fayre, John Fieldhouse for the flyers and signs for the Christmas Fayre and Tracy Turpin for collecting most of the raffle prizes. 

Easter Events
It was agreed that an Easter disco would take place on 8th April 2011, a further meeting will be held to discuss this.
It was thought that an Easter Egg Competition would be a nice idea, eggs would be decorated at home and brought in to enter the competition. There will be one winner per year group, with a chocolate Easter egg as a prize.

Other Fundraising
A film night was suggested by Mandy, maybe every 6 weeks or so. Maybe selling refreshments. We need to look into applying for a licence if needed. Mel will find out about the running of the film club at the school she teaches at.

Summer Fete
It was agreed to hold another Fete this year. The 9th July 2011 was suggested as a date for the Fete. Mandy said that the Red Arrows are at the Air Day at Yeovilton on the same day and that they will do a fly over at other events close by if requested. Mandy will apply for this over the internet. A further meeting will be held to confirm details of the Fete and make further arrangements.

Royal Wedding 29th April 2011
It was thought that we should do something to celebrate the Royal wedding, Jo will speak to Mr Allen to find out if he has any plans for the school to celebrate this and then we can plan what the PTA will do. It was agreed that a Traditional Tea Party with union jack flags and hats, after school on Thursday 28th April would be a nice idea. Jo will also look into Royal Wedding memorabilia i.e. coins etc. to maybe give the children, depending on cost.

Tea Towels
It was decided to print tea towels with a picture of the children on which they have drawn themselves. It was suggested that this was done nearer to Christmas as they would sell better. It was thought that the children could draw their pictures of themselves maybe in the last week of the Summer term, Jo will discuss this with Mr Allen.

Childrens Recipe Book
It was decided that a Recipe Book created by the children would be an idea for a future project.

Helpers for Christmas Events
Helpers were sorted out for all Christmas events. A letter was sent out asking for help with the events but a poor response was received. Nobody came forward for helping at the Christmas Shopping evening, only 3-4 people for the Christmas Fayre but quite a lot for the Christmas Disco.

Christmas Disco Friday 10th December
We need to find out if a teacher will be present. Refreshments will be squash and biscuits. Karen in the office will not be in school on the Thursday and Friday (9th &10th) so she will do the list up and any late money will have to be added.

Late Night Christmas Shopping
A good selection of donations have been received for our Chocolate Tombola Stall. It was decided to charge 50p a go/3 for £1.00. Winning tickets need to end with 5 or 0.
Christmas Hamper raffle tickets will be on sale on the night for £1.00. Names & telephone numbers need to written on all tickets.

Christmas Fayre Sunday 12th December
Stalls will include Cakes, Face Painting, Bric a Brac, Name the Teddy, Craft Activites in Year 1 or 2 classroom. Teas, coffees and mince pies in wet room, Santa's Grotto, Kelly's Jewellery, Handmade teddies, Old fashioned sweet shop, Brownies, Pheonix Cards and maybe W.I.
Advert to go in BVM on Tuesday. Jan will laminate some posters. Banner has been ordered to go on Mandy's railings. Viv has kindly offered to decorate Santa's Grotto. It was decided to have selection boxes as the gift from Santa as they are 4 for £3 in Poundland. Jo to buy 200 packs. Wrapping paper needed to wrap them.
It was decided to charge £1.00 for Santa and £1.00 for Face Painting.
The raffle will be drawn for the Hamper and other donations which have been kindly collected by Tracy Turpin.

Christmas Lunch Friday 17th December
The turkey will be supplied, cooked and served by Julian Else for £70.00.
Hunts are donating the ice cream. Andy Dike is supplying the vegetables and potatoes. 
We need to buy Christmas crackers (250), banqueting roll, gravy, stuffing and Quorn.
Jugs needed for drinks and gravy. Also steamers needed for the vegetables. It was suggested that we use tablecloths on the teachers tables.
Vegetables etc., will be prepared on Thursday 16th. The hall to be laid up on Friday morning.

Welcome from the Chairperson
Sarah thanked everyone for coming to the meeting.
She said that we had had a good year financially and that events had been well supported. As a PTA we have also spent lots of money, from which she felt the whole school had benefited. The Treasurer's Report would follow shortly.

Year 6 Fundraising
Mr McAney has asked for £50 to help with fundraising for year 6 and their trip to Brenscombe. Last year we gave year 6 £50 and they turned it into more money through events such as the bingo and the christmas shopping evening. 
Mr McAney has already spent £10 to book a table for the Christmas shopping evening. It was agreed by everyone to give the £50 again this year.

TREASURERS REPORT 2010

It has been another busy year for the PTA with numerous successful fund-raising events. Our bank account now stands at £4473.44, which is a decrease of approximately £300.

Income

The PTA has over the last year organised several fund-raising events. The two biggest generators of income were the Summer Fete, raising in excess of £1200, followed by our bingo evening (including the Christmas raffle) which raised just over £880. During the year the school also organised a disco which raised £118. Non-fundraising income was primarily from donations for swimming achieving £530. The Bags2School scheme raised a commendable £246 whilst the Yellow Moon cashback scheme brought in another £22. The total income raised this year was £2649.67

Expenditure

The biggest expenditure for the PTA this year was a donation of £3000 to the school; £1000 towards the new playground markings, £1000 towards new books for the library and £1000 towards a new swimming pool cover. The PTA also provided £50 towards the cost of bingo prizes for year 6's fundraising event. The PTA provided refreshments for both the year 5 Astronomy evening and for Sports Day. The final outgoings for this year was for the purchase of book bags for the new entrants in Reception year which cost just over £130. The total expenditure for this year was £2955.20.

In closing I would like to say a big thank you to everyone who helped at any of the events this year; without their support these events could not take place.

Sarah, Sue and Jo would all like to stand down from their positions, after 2 years in the role, but Yvonne is happy to continue as Treasurer.

Mr Allen thanked the Officers and members of the PTA for all their hard work in previous years. He said that anyone standing to fill these positions would have the full support of the school. They become the point of contact between the school and the PTA.

It was asked if anyone would like to take on the position of Chairperson.

Jo Angell said that she would like to do it. This was then proposed by Karen Forshaw, and seconded by Jo Townsend.

Sharon Elsworth was nominated for Vice-Chair. This was proposed by Sarah Bath, and seconded by Mel Peach.

Vanessa Vining and Mandy Elsworth would share the role of Secretary. This was proposed by Jo Townsend and seconded by Mr Allen.

Christmas Events

Mr Allen raised a couple of forthcoming Christmas events, that required help from the PTA.

Christmas Lunch
The Village Hall has been booked on 17th December for the children to walk down and have a Christmas Lunch, as in previous years. He asked if the PTA would be happy to organise this. Jo Angell said that they would, and everyone else agreed.

Stalbridge Lights Shopping Evening
Year 6 have already booked 2 tables for this event. The PTA could have one of these if thy would like. Everyone agreed that this was a good idea.

Christmas Disco
Mr Allen suggested Friday 10th December for the Christmas Disco. Jo would talk to Karen about organising this.

Closing from Sarah Bath
Sarah thanked everyone for their help and support over the last two and a half years. She said she was proud of what the PTA had achieved, and that the events couldn't have happened without everyone's help.

Next Meeting
The next meeting was arranged for Monday 15th November at 3.30pm at the school. This would be to discuss the Christmas events in more detail.

Summer Fete
The date for the Summer Fete needed to be set, and there were some concerns about the World Cup and how matches would affect attendance. Sarah Bath had a list of potential dates from Mr Allen and it was decided that Saturday 10th July was the most suitable. A small fete committee would be set up like last year, and the first meeting for this was to be held on April 19th, 8pm at The Swan.

PTA Money
The main purpose of the meeting was to decide how to spend the money the PTA had raised, following suggestions from Mr Allen.

The PTA has the following:

It was decided that it would be wise to keep 40% of the money for expenditure such as the pool, book bags etc. This was £2335.74, so it was agreed to keep the money in the Reserve Account and spend £3500.

Mr Allen and Mrs Walker had attended the last PTA meeting, with some suggestions of how we could help fund projects at school. There were 3 the PTA were considering:

1.KS1 Books and library furniture
2.Playground markings
3.Swimming pool cover

After some discussion it was decided that £1500 would be spent on the KS1 library, £1000 on the playground markings and £1000 on the pool cover. With regards to the playground markings, the PTA felt they would like to buy a wall game/ games or a particular item rather than just putting money into the "pot". Sarah Bath would discuss this further with Mr Allen.

A discussion arose regarding sports equipment, and how this could be added to and updated. It was decided that the fete would raise money towards buying new sports equipment for school.

Shopping Night - 4th December
A place has been confirmed for us at this event, to include a gazebo at a cost of £20. The school choir had not been confirmed so Louise Saville was going to talk to Miss Gould about this. 

It was decided that the PTA would sell soup at this event. Sarah Bath would try and borrow some soup urns, and Sue Northover would speak to Emily Davies at the Dorset Blue Soup Company about buying soup from her. It would be sold in polystyrene cups.

Last year reindeer food had been very successful, so it was decided to make some again. Judy Parker offered to help make this.

The stall needs to be set up buy 5.30pm, and a rota for the night was drawn up (subject to change due to choir/ dancing etc)

School Disco
The times of the disco have been amended as the kitchen has already been booked out.

It was decided that a PTA member should be assigned a class group when the children leave, to make identifying parents easier and therefore the exit process smoother.

The idea of having the tables outside the wet area door, under the cover, was also discussed as this would prevent the congestion in the wet area. It was decided that we would wait and see how well lit this area is on the night, but everyone agreed it could be a good solution.

Bingo - Friday 11th December
This was going to be held in the school hall, however there was concern that the venue would not be big enough due to the popularity of bingo in Stalbridge, and so Sue Northover was going to ask Pam Sewell if the Village Hall was free. (Since the meeting this has now been booked.)

Karen Forshaw has run a successful bingo for pre-school, therefore she gave us advice as to how to run the bingo, prices etc. It was decided on 30p a book or £1.80 for the whole strip, and £1 for the single games. Roy Forshaw has kindly offered to do the bingo calling for us.

On the night help will be needed with selling the bingo books, raffle tickets, refreshments etc. Helpers for the night so far are Vanessa Vining, Judy Parker, Jo Townsend, Jo Angell, Sharon Elsworth, Janice Tickner, Sarah Cairns, Mandy Elsworth, Louise Saville, Sue Northover and Sarah Bath. Any other PTA members not present are also very welcome to help at the event.

Prizes need to be sorted. Parents will be asked to donate items to make up a Christmas hamper, crackers, decorations, candles, "smellies", chocolate, wrapping paper, tags, cards and alcohol. The main prizes will be Christmas hampers made from the produce donated.

Raffle
John Fieldhouse had kindly printed an example ticket for us, that included a stub for the purchaser's details. They will be sold at Dikes, in the playground and at the bingo. Sarah Cairns suggested selling them at the Christmas Shopping Evening, and everyone thought this was a good idea. The number of tickets to be printed has yet to be decided. It was originally thought that 250 would be enough, however people felt that maybe more were needed.

The prizes are to be a £50 Dikes Voucher, £25 Else's Voucher and an Oakland Landscapes Voucher kindly donated by Jason Parker.

Helpers were needed to sell the tickets at Dikes. On Friday 27th November Jo Angell and Jo Townsend volunteered, and on Thursday 3rd December Sue Northover and Vanessa Vining. Sarah Bath is going to speak to Miss Swaine about the possibility of the School Council also helping.

Christmas Grotto
The idea of a Christmas Grotto had been discussed at the last meeting, however it was decided that there was too much going on at the moment.

Brenscombe
Mandy Elsworth raised the subject of the Year 6 trip to Brenscombe and the possibility of the PTA subsidising this. She said that Mr McAney was raising money through a sponsored swim and car wash. Her thoughts were that parents had given a lot of money over the years, and so could the PTA help by, for example, paying the bus fare or subsidising the trip. It was mentioned that the PTA has money in the bank and is still fundraising, and the purpose for this money was questioned. 

It was stressed that this was not just for the current Year 6, but should be done every year so all children and parents could benefit. 

One suggestion put forward was that Year 5 and 6 could hold their own fundraising events, and the PTA could then match what they had raised. This was to be discussed further.

No conclusions were made from this discussion. There was to be a meeting for all year 6 parents on Wednesday night, and Sarah Bath suggested that we wait and see what is said at this meeting.

PTA Newsletter November 2009

To all Parents, Carers, Teachers and Governors

We would like to welcome you to our first PTA Newsletter of the year! We hope this newsletter will keep you all informed and up to date with everything that we are hoping to organise this term.

Thank you!
Firstly a huge thank you for all your help and support with fundraising last year. We raised a fantastic £2812 through events like the Fete, Discos, Quiz Night and the Christmas Shopping Evening. This money enhances and supports our children's learning and we are very grateful for your generosity. Some examples of how this money was spent are on the Reception Book Bags, Environmental Area, Year 6 Leavers Party, Educational Theatre Group and the Christmas Meal. We are looking forward to another successful year ahead!

School Disco
Our first fundraising event is a School Disco to be held on Friday 20th November. Key Stage 1 will be from 6:30-7:30pm and Key Stage 2 from 7:45-9:00pm. More details will follow shortly.

Christmas Bingo
Our main fundraiser for this term is going to be a Christmas Bingo and Raffle. The Bingo is to be held at school on Friday 11th December, eyes down at 7:30pm and children are welcome. The raffle tickets will be on sale at Dikes on Friday 27th November and Thursday 3rd December, in the playground and at the Bingo. Prizes are to include a £50 Dike's Voucher, and a £25 Else's Voucher.

Nearer the time we will be sending a memo for your support in donating small prizes for the Bingo.

Late Night Shopping Evening
The PTA will have a stall at the Stalbridge Christmas Late Night Shopping Event on Friday 4th December, so look out for us there!

We hope this newsletter keeps you up to date, and helps you organise your diaries as everyone is very busy at this time of year.

We always welcome new members of the PTA, whether you are able to help for one or two events a year, or would like to be a more active member. Sarah Bath opened the meeting, stating that there were a number of things to discuss following a meeting with Mr Allen.

Astronomy Evening 
Year 5 and their parents are having another space evening on Friday 23rd October at 7pm. Mr Allen has asked if the PTA could provide hot dogs, hot chocolate and coffee. Sue Northover is overseeing this event and needs helpers. Lavinia offered as she would be there as a parent. Sarah Bath and Sue were going to try and find additional helpers for this event as nobody present at the meeting was available.

School Disco
This had been booked for Friday 20th November, however since the meeting it has been brought to our attention that his is the end of the Leeson House week, so Year 5 will be tired. Sarah Bath was going to approach Mr Allen for a new date. 

Sarah Whitby asked if we could have songs for the KS1 disco that had actions/ dances with them, as some of the children were overwhelmed last year without any structure. It was agreed that this would be a good idea.

The times of the discos were agreed - KS1 6.30-7.30pm and KS2 7.45-9.00pm. The tickets would cost £1.50 each.

Sarah asked for helpers for the discos and the following people volunteered:

Sarah suggested that we ask Jason Parker to attend, so that we have a male presence, if Mr Allen is unavailable for the whole evening. She was also going to ask Mr Allen if the children could have crisps/ sweets.

We will need a first aider at the event, Sarah Bath said she would ask Loraine Lane if she could attend.

Christmas Raffle
Sarah was very keen that we should not be targetting the same people, and has spoken to Andy Dike who has agreed that we can sell tickets at Dikes over two mornings. We will buy a voucher from him as a first prize (£50 was suggested). Else's have kindly offered us a £25 voucher, with us only paying £12.50 as they will generously donate the rest. A third prize is yet to be decided.

The dates the tickets are to be sold are 27th November and 3rd December, in the lobby at Dikes with some school council members. This will once again highlight the connection between Dikes and school and involve the community in our raffle.

Yvonne confirmed that we have a license to do this, and the tickets will need a stub, the license number and promoter written on them.

Everyone was happy with this arrangement.

Christmas Bingo
This is to be held on 11th December. Raffle tickets will be on sale here, and the raffle will be drawn during the evening. 

A non-uniform day was suggested with the £1 contribution going towards buying the bingo prizes.

Further details on this will be discussed at the next meeting.

Stalbridge Christmas Shopping Evening
This will take place on Friday 4th December, and the school have been invited to have a stall. It was thought that we should participate to support the local traders. It costs £10 a stall or £20 with a marquee. Jo Angell suggested that the school choir could sing during the evening, Sarah Bath said she would look into it.

Mr Allen would like a small grotto where children can come with their money and buy presents for their mums and dads, which would then be wrapped. There would be a choice of 3 or 4 items. A gift card could be made and then taken home. Everyone liked this idea.

Christmas Card Competition
Sarah Bath said she would talk to John Fieldhouse about how he arranged this at pre-school.

School Closure Arrangements
Sarah Bath clarified the situation if the school was closed, and amended the phone chain. Sue Northover and Lavinia Hinks were added.

Brenscombe
Mandy Ellsworth raised the point about Brenscombe and other residential school trips, and the cost of them. She asked if the PTA could donate or raise money for these trips to bring the cost down for parents. Maybe donating a lump sum year after year to help all children. Could a certain amount of money be agreed? 
It was acknowledged that this should be looked into further, no decisions were made, and further discussion would take place at the next meeting.
